The solution works where the managers already work: Outlook, the browser, a Chrome extension and Microsoft Teams.
Situation
Freight forwarding managers receive a large number of load offers every day, in all sorts of formats.
One email might say nothing more than:
“Mannheim → Milano, 24 t, tautliner, loading Thursday.”
The next might be a PDF, a photo, or several loads in a single message.
To assess an offer like that, a manager has to work out the loading and unloading locations by hand, calculate the truck route, check road tolls, estimate empty kilometres, pick a vehicle — and only then work out price and margin.
What we changed
We built a platform that turns an email or its attachments into a structured load analysis and a price quote.
The manager opens the message and runs the analysis without leaving Outlook. The system:
reads the email text, PDF or photo and extracts the load details;
recognises when one email contains several loads;
calculates a truck-appropriate route and road tolls by country;
adds empty kilometres from the chosen vehicle;
presents price and margin in one workspace.
What changed day to day
Data no longer has to be retyped into a separate system.
Route, tolls and empty kilometres are calculated together rather than separately.
Offers already seen, or sent again, are flagged automatically.
Return loads can be searched alongside, by empty distance and price per kilometre.
Results appear progressively, so there is no waiting for the whole analysis to finish.
Result
One continuous workflow, from an incoming offer to a finished price calculation:
open the email → run the analysis → see route and tolls → choose a vehicle → assess price and margin.
All without switching between several separate tools.
What it connects to
The system uses vehicle information from the company’s TMS, routing and toll data, a freight exchange for return loads, and the Microsoft 365 environment the managers already work in.
